Real estate lead follow-up with AI

Speed to lead matters because the first agent who replies with something helpful usually gets the conversation. The hard part is replying fast and still sounding like a person, especially when a lead comes in during a showing.

This playbook uses ChatGPT to draft the first text, a short email and a four-touch sequence, and optionally Zapier or your CRM (we use Follow Up Boss as the example) to bring the lead details to the prompt automatically.

The prompt

A new lead came in: [name, property viewed, price, source, message]. Write (1) a text message under 300 characters, (2) a short email, and (3) a 4-touch follow-up sequence over 10 days. Sound like a helpful local agent, ask one easy question, never pushy.

Step by step

  1. Manual version: copy the lead details from your CRM or the portal email into the [brackets] and paste the prompt into ChatGPT.
  2. Send the text yourself after a quick read. Keep the one easy question; it's what gets replies.
  3. Load the 4-touch sequence into your CRM as tasks or a drip, edited to your voice.
  4. Automated version: in Zapier, trigger on a new lead in Follow Up Boss (or a new portal email), send the fields to a ChatGPT step with the prompt, and save the drafts as a note or task on the lead. Keep a human approval step before anything is sent.

Why 'one easy question' matters

A lead who just clicked a listing is not ready to book a consultation. A question like 'Are you hoping to see it this week or just starting to look?' is easy to answer and tells you how to follow up. The prompt bakes that in so every draft ends with a reply-worthy question instead of a pitch.

Make the sequence fit the lead

Change the instruction for different sources. For an open house sign-in, ask for a thank-you and a similar-homes offer. For a seller lead, ask for a home-value angle. For past clients, ask for a check-in that doesn't sell anything. Saving each variant as its own prompt keeps you consistent.

Mistakes to avoid

Auto-sending AI texts without review. One wrong price or wrong address costs more trust than a slow reply.

Long first messages. The prompt caps the text at 300 characters for a reason.

Following state and carrier rules loosely: get consent where required and include opt-out language your CRM supports.

Save it as a reusable assistant

Retyping prompts is where most agents give up. In ChatGPT, create a project or custom GPT for this task, paste the prompt into its instructions, and add one or two examples of output you were happy with. In Claude, a project with the same instructions does the job. From then on you only paste the facts. Keep a short note of what you changed each time you edit the instructions, so you can go back if a change makes the drafts worse.

A two-minute review checklist

Before anything AI-drafted leaves your hands, run through the same five checks. Is every fact, number and feature in the draft something you supplied or can verify? Does it describe the property and the service rather than the kind of person who should buy? Is it the right length for where it's going: MLS field, text message, email or caption? Does it sound like you, or like an ad? And does it include anything your brokerage or state requires, such as brokerage name, license number or a staging disclosure? If any answer is no, fix it or ask the model for a revision with that specific instruction.

Keep a running list of the fixes you make most often. After a week or two, add them to the prompt itself. That's how a generic prompt becomes your prompt, and it's the single biggest improvement you can make to AI output.

Before you use it

Every prompt on this site is a starting point, not a finished product. AI drafts fast, but you are the licensed professional: check every fact against the MLS and your own notes, keep Fair Housing rules in mind, and follow your brokerage's and your state's advertising rules. Treat the output as a first draft from a quick junior assistant who has never seen the property.

Frequently asked questions

Can AI respond to real estate leads automatically?
It can draft instantly. We recommend keeping a human approval step, at least until you've checked dozens of drafts and trust the setup.
What CRM works with this?
The example uses Follow Up Boss with Zapier, but any CRM that Zapier connects to can supply the lead fields and receive the drafts.
How many follow-ups should I send?
This playbook uses four touches over ten days after the first reply. Adjust to your market and the lead's response.
